The name is new-ish to us, but we've been around for 20 years. In contrast to our former identity that reflected what we do, we chose the name Thesis as it better represents how we do it: a full-service agency that believes our strength is in our approach—that the work we make is only as strong as the thought—and data—we put behind it. 



The Job

The Creative Operations Lead role works to improve the creative initiative process within each of our accounts. The creative initiative being defined as who and what is involved in ushering a project into our agency and back out again as a complete deliverable. They improve upon existing structures and processes, helping teams to move more efficiently and focus on producing great work without being mired in the process. This role works closely with project and account leaders to produce effective implementation plans that leave no contributor behind. Collectively, the Project Operations team works collaboratively with all project stakeholders to improve project execution.


Department Organization 

The Creative Operations Lead role sits within the Creative Operations function of the Operations Department, and reports to the Creative Operations Director. This role is aligned with account leaders and executors on the account they support to strengthen our project process from intake to the project post-mortem. 

Reports: This role reports to the Creative Operations Director. 

Mentorship: This role provides mentorship [Mentor] to individuals and teams within their account to guide and improve the mechanics of the project lifecycle. 

Leadership: This role leads their respective accounts through the creation and implementation of united workflows and process improvements. This role does not have people management responsibilities [Coach]

Collaborates: This role collaborates [Collaborator] with project and account leadership to improve and refine the way our teams move through the creative initiative. This role also collaborates with the greater Operations team to ensure that internal and project operational efforts are aligned in their mission and execution. 


Responsibilities 

Creative Operations Leads are responsible for: 

  • Discover the Need: Through conversations with project leaders and contributors, discover and identify process, tool, and organizational needs to improve our team’s experience in the project lifecycle, and ensure that they have room to execute their best work. 
  • Foster Collaboration & Trust: Use your discoveries, data, and insight to create & implement new processes, or uplift existing ones to foster collaboration & trust among project teams to yield successful projects. You are the spokesperson for those voices who recognize an opportunity, and the partner to translate those 

ideas into action. 

  • Uphold Best Practices: Work alongside project leaders and contributors to understand their processes, and assist in establishing or refining best practices within and across departments. 
  • Organization of Creative Assets: Uphold the integrity of the asset management system and employ recurring audits and team training to ensure that the process is serving the team and project needs first. Inform the Design Operations Lead when updates are needed. 
  • File Management: Partner with the Design Operations Lead roles to co-own the project file management architecture, taxonomy, and user experience. Own the output, ensuring that it is effective for all departments. 
  • Be the Bridge: Serve as a neutral territory that is committed to the success of the team and account. Bring stakeholders together to facilitate productive conversations that solve blockers and overcome challenges. Provide solutions that address all vantage points. 

Unite our Teams: In partnership with the Creative Operations Leads and the Creative Operations Director, work together to develop, maintain, and distribute processes and documentation that creates universal efficiencies & standards across our accounts.



Skill Sets 

Creative Operations Leads possess the following skills: 

  • 4-5+ years experience working in a project management, operations, or project-based support role. Previous experience working for a creative agency is required [or comparable experience]. 
  • Deep understanding of the needs for successful project teams, and an ability to communicate with different stakeholders to create collaborative solutions. Experience organizing assets around a digital asset management system. 
  • Experience leading multidisciplinary teams, building relationships, and confidence interacting with all levels of leadership. 
  • Excellent communication skills, with a collaborative mentality and top-notch interpersonal skills. 
  • Ability to identify departmental inefficiencies and experience developing and implementing cost and time saving process improvements.
  • Ability to visualize and contextualize processes through process mapping, and communicating that process to unfamiliar teams.
  • Adept problem solving skills. 
  • Deep experience in a variety of project management, time tracking, communication and knowledge management tools. 
  • Working knowledge of creative applications and software.
  •  Exceptional organizational skills, agile with an ongoing willingness to improve.
